Candidate Guidelines for AI and Technology Use

Purpose and Scope

Accurate recognizes that AI can be a valuable tool during the recruiting process, and we do not discourage the use of responsible AI. However, Accurate is committed to identifying and hiring the best candidates based on their qualifications, skills, judgement, experience and potential success in their job and we want every candidate to have the opportunity to showcase their true strengths and qualifications.  Our processes are designed with the candidate in mind so we can make informed hiring decisions.  This policy outlines expectations for the responsible use of AI and other technology during the hiring and recruiting process, including but not limited to use during the application and resume submission, evaluation, interviews, and other assessments, to help ensure a fair, authentic, secure, transparent, and accessible hiring experience.

Candidate AI Use Guidelines

Candidates may use AI for support in their preparation and application materials, resume/cover letter development, research, and similar job-search activities, provided that all information and material submitted  or communicated to Accurate is truthful, accurate, and reflects the candidate’s own experience, qualifications, skills, and work product.

Accurate expects candidates to present their authentic self and capabilities during the hiring process and discourages AI as a substitute a candidate’s own experience, perspective, conversations, interactions and problem-solving ability.

Restriction on AI Use

Unless expressly authorized, candidates may not use AI tools, including but not limited to, bots, meeting assistants, transcription tools or similar technologies during any interviews, including video interviews, assessments, conversations or other hiring related interaction to generate, provide, receive, read, reference or rely upon real-life responses, prompts, coaching or other interview assistance unless explicitly instructed or approved in advance by Accurate.    The aforementioned list is not exhaustive and is used to provide examples of unauthorized tools.

This restriction does not prohibit the use of any AI or other assistive technology as part of a reasonable accommodation.  Any candidate who needs any accommodation should contact Accurate’s talent team.

Work Assessment Expectations

Where AI is permitted for an assessment, candidates should be expected to disclose how AI was used and be prepared to explain their reasoning, decision making process, and development of their final work product.

Unauthorized Recording Prohibition

Candidates may not record, transcribe, photograph, screen capture, reproduce, distribute, disclose, share, or retain any interview, assessment, candidate conversation, or related material without Accurate’s prior written authorization. Prohibited methods include, but are not limited to, audio or video recording, screen recording or capture, AI note-taking or transcription tools, bots, meeting assistants, wearable recording devices, photographs, and screenshots.  Interview content, assessment materials, and related information may contain Accurate’s confidential or proprietary information and may not be used or disclosed for any purpose unrelated to the candidate’s participation in the hiring process

Protecting the Integrity of the Hiring Process

To help ensure the fair and consistent recruitment process, Accurate may review and evaluate instances where a candidate fails to comply with the expectations outlined in this policy, including unauthorized use of AI, misrepresentation of qualifications or experience, unauthorized recording, or other conduct that may compromise the integrity of the hiring process. Depending on the circumstances, such conduct may be considered as part of the overall hiring decision and may result in a candidate no longer being considered for the position, withdrawal of an offer of employment or other action deemed appropriate given the circumstances.

Candidate FAQs

Can I use AI during the interview process?

You may use AI to help prepare for interviews, research Accurate Background, organize your thoughts, or support your application materials. However, your application and interview responses must accurately reflect your own experience, qualifications, skills, and perspective.

Unless Accurate Background gives prior approval, candidates may not use AI during live interviews to generate, read, reference, or receive real-time answers or coaching.

Can I record my interview?

No. Candidates may not record, transcribe, screen capture, or otherwise document any part of the interview process without prior written authorization from Accurate Background. This includes AI notetakers, bots, transcription tools, audio or video recording, screen recording, and wearable recording devices.

What happens if a candidate violates these expectations?
Accurate Background reviews potential violations on a case-by-case basis. Depending on the circumstances, violations may result in consequences up to and including disqualification from the hiring process or withdrawal of an employment offer.

How does Accurate use AI and Technology in the recruitment process?

At Accurate Background, we are committed to a fair, consistent, human centered hiring process. We may use approved technology, including AI enabled tools, interview recording, transcription, scheduling automation, resume parsing, assessment platforms, and interview summarization tools, to support our recruiting and hiring activities.

These tools are intended to help our teams operate more efficiently, improve consistency, reduce administrative burden, and support a better candidate and interviewer experience. They assist our recruiting teams in administrative and evaluation processes but do not replace human review, judgment, or decision-making. Employment decisions are made by authorized personnel and are not based solely on automated processing.
